Privacy Policy

Your privacy matters to us - here's how we handle your info

Last Updated: October 31, 2025

Introduction

Look, we get it - nobody really enjoys reading these things, but we think you should know what happens with your personal info when you train with us.

At Blightvale Odyssey Fitness, we're all about transparency. When you're conquering our obstacle courses or crushing it at HIIT, you're trusting us with more than just your fitness goals - you're sharing personal details that help us make your experience better.

This policy lays out exactly what we collect, why we need it, and how we keep it safe. We've tried to keep the legal mumbo-jumbo to a minimum, but some of it's gotta be there to cover all bases under Canadian privacy laws (PIPEDA, for those who care about acronyms).

Here's the deal - we only grab info that actually helps us serve you better. No sneaky stuff.

Personal Details You Give Us:
  • Name, email, phone number - the basics for reaching you
  • Address info for billing and emergency contacts
  • Date of birth (we need to know you're old enough to sign waivers)
  • Emergency contact details - super important when you're tackling our rock wall
  • Payment and billing info (processed securely, never stored on our servers)
Health & Fitness Stuff:
  • Medical history and any conditions we should know about
  • Fitness assessments and progress tracking data
  • Injury reports (hopefully none, but we gotta document 'em)
  • Dietary preferences if you're working with our nutrition coaches
Tech & Usage Data:
  • Website browsing patterns and pages you check out
  • IP addresses and device info
  • Class bookings and attendance records
  • Photos and videos from classes (only if you've signed our media release)

Everything we collect has a purpose. We're not data hoarders - promise.

Service Delivery

Managing memberships, scheduling classes, processing payments, and keeping track of your progress during personal training sessions.

Safety First

Making sure we know about any health issues before you tackle our obstacle courses. Your safety isn't negotiable.

Communication

Sending class reminders, schedule changes, maintenance updates, and yeah - occasional promotions (you can opt out anytime).

Improvement

Analyzing what's working and what's not so we can make our programs better. Real feedback drives real changes.

We won't use your info for anything we haven't told you about without asking first. That's just basic respect.

We're pretty protective of your info, but there are a few situations where we need to share it:

Payment Processors

Your payment details go through secure, PCI-compliant processors. We never see or store your full credit card numbers.

Email & Communication Tools

We use trusted platforms to send class reminders and updates. They're bound by strict privacy agreements.

Medical Emergencies

If something goes wrong and you need medical attention, we'll share relevant health info with first responders. No brainer there.

Legal Requirements

If the law says we gotta hand over info (like a court order), we will. But we'll fight any fishing expeditions.

Business Transitions

If we ever sell the gym or merge with another business, your info would transfer as part of that deal. You'd be notified first, though.

We take security seriously - like, really seriously. Here's what we do to protect your stuff:

Technical Safeguards
  • SSL encryption for all data transmitted through our website
  • Secure, password-protected databases with encryption at rest
  • Regular security audits and vulnerability testing
  • Firewalls and intrusion detection systems
Physical Security
  • Locked filing cabinets for paper records (yeah, we still have some)
  • Restricted access to member data - only staff who need it can see it
  • Secure disposal of outdated documents through shredding
Staff Training

Everyone on our team gets privacy training. They know the rules and take 'em seriously. Breaking confidentiality isn't just wrong - it's a firing offense.

Real talk: No system is 100% hack-proof, but we're doing everything reasonable to keep your data locked down. If there's ever a breach, we'll let you know ASAP - no cover-ups.

Not the chocolate chip kind, unfortunately. These are little files that help our website remember you and work better.

What We Use:
  • Essential Cookies: Keep you logged in and remember your booking preferences. Can't really turn these off without breaking stuff.
  • Analytics Cookies: Help us understand which pages people actually look at. We use this to improve the site (like if nobody's checking the nutrition page, maybe it sucks).
  • Marketing Cookies: Track whether our ads are working. You can disable these in your browser settings if you want.
Your Control:

Most browsers let you refuse cookies or delete them. Just heads up - some features might not work as smoothly if you do. Your choice though.

Third-party tools: We use Google Analytics to see how people use our site. Google has their own privacy policy - we don't control that, but they're pretty buttoned up about it.

Under Canadian law (and just basic decency), you've got rights when it comes to your personal info. Here's what you can do:

Access

Ask to see what info we have about you. We'll show you within 30 days.

Correction

If something's wrong, let us know and we'll fix it ASAP.

Deletion

Want us to delete your data? We'll do it, unless we legally have to keep it (like tax records).

Opt-Out

Don't want marketing emails? Click unsubscribe or tell us. We won't take it personally.

Portability

Want a copy of your data in a format you can use elsewhere? Just ask.

Complain

Think we messed up? You can file a complaint with the Privacy Commissioner of Canada.

To exercise any of these rights, just email us at info@blightvaleodyssey.info or call (604) 555-7832. We'll verify it's actually you (gotta prevent identity theft) and then take care of it.

We offer programs for teens and sometimes younger kids, but we take extra care with their info.

The Rules:
  • Anyone under 18 needs parental consent to sign up
  • Parents/guardians provide all the personal info - we don't collect it directly from minors
  • Parents can access, review, and request deletion of their kid's info anytime
  • We keep minor data separate and extra secure

For our Adventure Bootcamp Classes that include teens, we make sure there's appropriate supervision and we've got parental emergency contacts on hand at all times.

Parents: If you have questions about what info we've collected about your kid, or want to review it, just reach out. We're happy to walk you through everything.
